Northern Jet is seeking a qualified Client Services Coordinator to join our robust sales team.
Role:
This role will report directly to the Vice President of Sales and will be responsible for creating memorable experiences for our clients, while supporting the sales team. This position requires a strong commitment to customer service and responsiveness. A successful candidate will have extensive experience with multi-tasking, time management, and organization, all while maintaining the highest standards of client service and focus.
This is an in-person position based in our headquarters in Orlando, FL.
Responsibilities:
- Provide professional client and crew contact through proper business etiquette and decorum.
- Coordinate and arrange trip logistical and service items as necessary to support client and crew, including coordinating aircraft movements to support client’s travel schedule, scheduling support personnel including airline travel and hotels as needed, arranging for landing and over flight permits, clearances, ground handling, security, customs, ground transportation, catering, contingency plans, etc.
- Support the flight crew by providing any needed information for preparing the flight or relaying messages to clients, book crew hotel rooms, rental cars, and airline tickets.
- Manage schedule deviations with customers and crews; update paperwork with the changes.
- Arrange for U.S. Customs clearance as needed.
- Request for airport slot reservations when necessary.
- Produce and compile all necessary trip documents prior to each flight, such as Flight Release, General Declarations, fuel release forms, and service confirmation.
- Performs other related duties as assigned.
Skill Requirements
- Excellent communication skills, both written and verbal; fluency in English required.
- Highly organized with strong attention to detail and accuracy.
- Excellent time management and ability to multi-task.
- Business acumen and professional presence
- Experience in customer relations, and problem solving in a consultative sales approach.
- Ability to work varied schedules to support Northern Jet’s 24/7/365 business model.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work effectively both independently and as part of a team in a fast-paced environment.
- Knowledge of aircraft dispatch principles and aircraft trip planning principles including, but not limited to, FAA regulations, airport information, resources available for trip planning, aircraft and trip support highly preferred.
- Ability to work with the flight scheduling platform and Microsoft Office Suite.

Education and Experience:
Associate or bachelor’s degree in business administration, or a related field preferred.
2-3 Years experience in scheduling or customer service.
Interest in aviation a plus.
Physical Requirements:
Prolonged periods of sitting, predominantly in an office environment.
Travel up to 10%
